3. How to adjust company settings?

Roles, that can do this: Unit supervisor, Management and Admin -users

Click your name on the upper right corner of QualityDesk and select Company settings.

Company settings generally always affect the Company where the user is, unless the setting has a unit or team selection.

From the company settings, you can:


Change the name of the Company
Settings
Filled evaluation forms can be modified by
Send automatic email reports
Send administrative notifications
Limit the e-mail domains allowed in QD
Creating and editing evaluation forms
Creating and editing coaching forms
Allow team leaders to see each other's teams in their own units


Change the name of the Company

From here you can change the name of the company you're working.

Settings

From the Settings section, you can configure various options:
Choose whether the evaluation form name is displayed on evaluation and/or coaching forms.
Allow or restrict agent login creation. If restricted, logins cannot be created via the Teams and agents page in QualityDesk. Agent profiles can still be created.
Enable or disable self-evaluation and/or colleague evaluations for agents.
Hide the coaching forms content by default.
Hide passivated agents from the Teams and agents page, ensuring that only Admin users can reactivate them via User management.
Set an automatic session timeout (default: 30 minutes). If a user is inactive for this period, they will be logged out for security reasons.
Define a mandatory password reset interval (in months) for all users. If left blank, no forced password changes will be required.

When making changes, remember to click the Save button at the bottom of the page.

Filled evaluation forms can be modified by

You can assign role-based permissions to let users to edit completed evaluation forms (agents cannot be granted this right at this time).
Click the + (Plus) icon and select the role to grant editing permissions.
To remove a role, click the trash can icon next to it.
Finally, click Save at the bottom of the page.

Sending Email Reports

You can configure automated weekly email reports, which are sent every Tuesday.
Each user can choose their own reporting cycle in their profile settings.
Click the + (Plus) icon and select the roles that should receive the email reports.
To remove a role from the email distribution list, click the trash can icon next to it.
Click Save at the bottom of the page.

Administrative Messages

Define recipients for Admin Messages within the application.
Note: Currently, this applies only to messages related to Active Directory (AD) integrations, such as notifications about new users logging in for the first time and their required assignments.
Best practice: Assign Admin users as recipients, as only Admin users can allocate users to different companies, units, etc.

Restrict Allowed Email Domains for Account Creation

You can limit which email domains are allowed when creating new user accounts.
Enter the allowed email domains (e.g., qualitydesk.com and qualitydesk.fi).
If the field is left blank or contains only domain.com, there are no restrictions.
If restrictions are in place, any attempt to create an account with an unauthorized email domain will result in an error message.
Note: This does not affect existing accounts, only newly created ones.
Tip: As an Admin user, you can quickly check registered emails in User Management.

Creating and Editing Evaluation Forms

You can assign evaluation form creation and editing rights to Coaches and/or Team leaders for specific units.
If granted access, coaches and/or team leaders can:
Create new evaluation forms.
Edit existing forms.
Adjust form settings, including additional service configurations (e.g., Dynamic Form Guidance).
All changes and modifications are logged along with the user responsible.
Important: Once a form is saved, it cannot be restored except through expert technical support.

If granted access, coaches and/or team leaders can:
Create new evaluation forms.
Edit existing forms.

Allowing Team Leaders to View Each Others Teams within Their Unit

You can enable or restrict team leaders’ ability to view other teams within the same unit. If enabled, team leaders can:
Evaluate employees from other teams.
Access employee profiles and performance reports.
Move employees between teams.
Create new employee profiles in each other’s teams.
Hidden coaching forms will remain hidden based on normal access restrictions.
